Web Video Conferencing
In the last few years there has been a steady increase in the number of people who are
using web video conferencing technology. It isn’t just businesses that rely on these systems to have meetings
with others around the world, but it is also used in many homes as well.
However, although the teleconferencing
equipment itself is simple to use people can still make mistakes when using
it. Below we offer a few guidelines that could help to ensure that when using web video conferencing
systems you do so properly and this will ensure that any meetings you have go well.
Tip 1 - Before you start any calls make sure that the cameras presets have been set
allowing you to use them quickly when the call is taking place. Depending on what sort of web video
conferencing system you have it will enable you to set as many as 100 near site presets on your camera. Plus
some may also allow you to use the presets stored on the system that is far from you.
Tip 2 - It is a good idea if you can to add peripherals to your system as this will expand
the way in which it can be used. So don’t be worried about adding such things as VCR’s or say other software
programs that then allow you to share data or present slides to the other participants quickly and
easily.
Tip 3 – When holding any meetings using web video conferencing equipment
avoid wearing only bright, light or dark colored clothes. Instead wear muted or
light pastel colored clothes as this not only looks great on the screen but won’t cause a distraction to
those other participants.
Tip 4 – If the meeting is being held in a room with windows make sure that the curtains or
blinds have been drawn before commencing it. Remember that light from outside is a variable source and can
end up conflicting with the lighting that is on in the room.
Tip 5 – Should you find the need that the cameras have to be adjusted whilst the meeting
is taking place then make sure that you fill the screen with people rather than chairs, floor or walls. This
will help to keep contact with your other participants so that they stay focused on what you are saying or
doing.
Tip 6 – When you are speaking try to keep the tone of your voice as normal as
possible. Plus it is a good idea to speak a little more slowly so that then you can clearly pronounce each
word that you are saying ensuring that not only will the others hear but also understand what it is you
saying. Also before the meeting starts check that not only can they hear you but also you can hear
them. To do this just ask each person involved in the meeting to introduce themselves.
Tip 7 – There will be some delay on the audio feed when it comes to web video conferencing.
So it is a good idea that you pause occasionally to allow others to answer any questions you have raised or to ask
questions themselves or make any comments they have.
